Preparing a B2B custom product inquiry

The product, quantity, artwork, and delivery information that helps a quote review begin with fewer assumptions.

An inquiry can be reviewed before every detail is final, provided it identifies the decisions that affect product selection and quote preparation.

Define the product requirement

Start with the closest product in the catalog and explain the intended use. Note any material, size, color, packaging, or performance requirement that is not already represented by the published options.

Provide a realistic quantity range

Quantity can affect product availability, customization options, unit pricing, and production planning. Use the current expected volume rather than an aspirational future total. If the project may repeat, separate the initial quantity from possible later orders.

Prepare artwork and brand references

  • Supply vector artwork when it is available.
  • Include brand color references and the preferred decoration area.
  • Add photographs or prior samples only when they are relevant to the requested result.
  • Identify any file that is still being prepared.

Explain timing and destination

A requested delivery date is an input, not a guarantee. Include the destination country or warehouse and identify any event or launch date that cannot move. Production and delivery terms are confirmed in the applicable quote.

State what still needs confirmation

List sample, proof, document, packaging, or delivery questions in the inquiry notes. A clear list of open points is more useful than filling the brief with assumptions.
