Samples, proofs, and production approval

Samples and proofs are not interchangeable. Each can answer a different project question, and availability varies by product, customization method, quantity, and timing.

A sample can help assess size, material, construction, color, or general product quality. A stock sample may not include the requested customization. A production sample can require additional time and cost because it is made for the project.

A proof is used to review artwork placement, scale, orientation, and the information included in the design. It may be a flat layout or a visual representation rather than a photograph of the finished item.

Before approval, check names, dates, contact details, spelling, artwork version, placement, and color references. The approving contact should understand which characteristics the proof does and does not represent.

Keep the approved proof, approval date, and approver with the inquiry or quote record. If the artwork changes after approval, request an updated review before production proceeds.
